SOCIETY OF MANUFACTURING ENGINEERS is Hiring an Administrative Coordinator II (Technical Activities) Near Southfield, MI

SUMMARY STATEMENT OF RESPONSIBILITIES:

Under general supervision, the Administrative Coordinator II provides a full range of administrative support to the Technical Activities team, including committees and communities. The position will provide project support to include: attending meetings, providing agendas, taking minutes and notes, keeping rosters for multiple groups updated, etc. The Administrative Coordinator will collaborate with various internal and external customers.

MAJOR FUNCTIONS:

  • Schedule, coordinate and take notes for meetings and subcommittees across SME’s Communities and Committees.
  • Work alongside staff members to oversee assigned projects by communities and specific initiatives.
  • Support all phases of program(s) and initiatives planning, processing, execution, and post program evaluation. Sample duties include working within software application(s) and other programs.
  • Enter and maintain committee and community - advisors, panelist, speakers, advisors, and stakeholder demographic information and records.
  • Coordinate materials and arrange in-person meetings and virtual meetings, programs, or events.
  • Answer telephone, screen calls, take messages, and make appropriate call dispositions.
  • Assist with agendas and materials and keep accurate updated rosters for groups.
  • Send reminders and final instructions for in person and virtual meetings.
  • Coordinate with other SME Business Units as needed.
  • Support outreach and visibility activities for Awards and Competitions.
  • Working closely with internal/external partners to maintain awareness of program or project status and milestones, communicate appropriately with all stakeholders.
  • Planning and post-meeting support to assist in the development of community and committee programs or projects.
  • Works directly with preferred vendors and partners to order any necessary supplies, awards or prizes.
  • May provide on-site support at events.
  • Other duties as assigned.
